Why use an electronic PEP?
AfC Virtual School uses a secure platform (Welfare Call) to manage ePEPs, offering:

Quick, remote collaboration between professionals

A place to store supporting evidence (e.g. reports, photos, achievements)

Transparent and accountable tracking of pupil progress
Logins and training are available by contacting AfC Virtual School.
During the Meeting
The Designated Teacher chairs the meeting and should bring attainment data and evidence of progress. Young people are encouraged to take part and may lead the meeting if appropriate. Focus on celebrating success and setting SMART targets, including how carers can support learning at home.
After the Meeting
Designated Teachers and Social Workers should promptly complete their sections to allow approval by the Virtual School. Follow up on agreed actions and ensure Pupil Premium Plus spending is clearly recorded and directly linked to the ePEP targets.
Ongoing progress should be monitored by the Designated Teacher, with carers supporting learning at home.

SMART Targets
SMART = Specific, Measurable, Achievable, Relevant, Time-bound.
Helpful example:
“Learn 2, 3, 5 and 7 times tables by February, achieving 80% in the end-of-term quiz.”
This is clear, challenging, and focused on learning outcomes.
Unhelpful example:
“Improve attendance” – vague and not educationally focused.

SDQ Guidance
Each spring, the Virtual School sends a Strengths and Difficulties Questionnaire (SDQ) to support understanding of the emotional wellbeing of children in care. It should be completed by a teacher who knows the pupil well and discussed at the PEP meeting.
